Instructions for Preparing your Images for Sale on NeatoPhoto

Step One: Numbering & Sizing

 

Sizing*

Each Image you want to sell needs to be sized in three different sizes. (And, an additional TIFF if you have it)

Maximum ideal dimension for images is: 13.5 inches (longest side) X (shorter side) We offer three sizes of EACH image. The sizes are as follows:

 

Image One: 13.5" X (short side) 300 dpi JPG RGB - Largest File*

Image Two: 7 X (short side) 300 dpi JPG - Medium File (Please keep this size consistent, even if your largest file isn't 13.5 inches)

Image Three: 7" X (short side) 100 dpi JPG - Small File

TIFF Image: 13.5 X (short side) 300 dpi Tiff RGB - Premuim File (we'll sell this if you have them. If not, then your large file will be your jpg)

*Note: if your camera doesn't produce files big enough to size as a 13.5 inche JPG please use your MAXIMUM size for Image One. 10 Inches is acceptable. We will offer 300dpi TIFFS as a premium feature if you have them. Ideally, shoot raw files with your digital system and save them as TIFFS first. Once you have that image retouched and color corrected save the JPGS in the different sizes. Keep the TIFF as your archival image file for the future.

 

Numbering

(Note - you're going to number the three different file sizes with a specific number / idenitifier for database lookup)

A. Make sure you have a Photographer Number assigned to you. See below on the spreadsheet sample, column one (Photographers image). This database is for Jeff Roush, and his assigned photogapher number is 002. If you don't have a photographer number please email Jeff Roush or Dave Lehman to get one assigned. There is a list of assigned photographer numbers on the website; http://www.neatophoto.com/photographer.htm if you want to see the list. This "photographer number" becomes the prefix number to ALL of YOUR images.

B. Use this Photographer Number as the prefix for the chronological numbering of all of your images. This number will stay with the image forever and will never be altered. The image number ( 002-00001, for instance) will identify this particular image in the NeatoPhoto Database for organization, searching, and accounting. Doing your own numbering will speed up the process of getting your images loaded into the database and ultimately allowing them to be sold faster. We are backlogged now, so if you can do some of this work it will help us to get the greatest number of images available online more quickly.

C. To number the THREE sizes you've made here's the simple steps. (in the three sizes there is a duplication of numbers being ONE file is a tiff) Not all photographers have the TIFF files, so if you don't you'll be creating just the three jpgs. If you have TIFFS we'll be offereing them as a premium for a little more money.

Image ONE's number ends with a -H (dash "H" for the biggest image size) This is the Large JPG 300dpi file

Image TWO's number ends with a -L (dash "L" for medium image size) This is the Small JPG 300dpi file

Image THREE's number ends with a -T (dash"T" for smallest) This is the Thumbnail JPG 100dpi file

Tiff Image number ends with a -H (dash "H" for the biggest image size) This is the Large Tiff 300dpi file

These Letter extensions, H, L, and T, are our code for the different images sizes.

Example: Your FIRST image's number (Large JPG and TIFF) will be as follows:

Put these FOUR images in ONE folder. This folder is labeled the same as the image number. So, you'll have a folder (using the above sample) labeled 005-00012, and inside this folder will be four images: 005-00012-H.jpg, 005-00012-L.jpg, 005-00012-T.jpg and 005-000120-H.tiff.

 

 

 

 

Step Two: Search Word Database (excell database spreadsheet)

A. Create your Database

Above is a sample of the database needed. This is an excel spreadsheet that you can download (link below) to the computer where you store and manage your images. Once you have it please keep it forever, as you will be hopfully updating it often with new images to add to your collection on the NeatoPhoto website. Fill in as many of the fields as you can to prevent us from having to go back and do it for you; it only slows us down. This database can be emailed as it is updated and completed, and we will update this information on the website.

B. Enter the image search information in the fields.

As you enter information on the spreadsheet here are a couple of tips. All of the fields are searchable in the database, so think a little as you enter this information. You know more about YOUR images than we do, so don't think that we can do it any better than you. If the image is a specific place for instance, like Yellowstone Park, please use that information. If the image location is really a non-descript place (like a studio photo) then leave it blank. Finding the exact words to use for searching is more important than a quantiy of words. Leave fields blank if you don't have the necessary information for a given entry. For example, if you don't know what the location is, just leave it blank. For example, let's say you have a great photo of a family on a picnic. The first category should be people. Your second category could be recreation if it's a family in the photo is amidst some fun activity or conversation. However, if this photo is on the beach with water showing in the background then you might want to make your second category either lakes or water depending on how dominant this element is in the total subject matter of your image. So, rule of thumb, don't rush through this part of the process because it's the part of this exercise that will ulimately put YOUR image in front of the person sitting at their computer trying to buy photographs. If you put in incorrect or non related search criteria this person searching for "families, fun, ocean" would never see your image.

The keywording section of the spreadsheet this is where you put the less obvious subject matter / ambience of your photograph, such as; frisbie, dogs, beachball, sand, sand castle.

C. Image Categories

Below is the list (same as the one you downloaded) thus far of our main categories for images. On the database spreadsheet try to use this list to find your MAIN and SECOND category. If it's NOT there go ahead and add a new one. Our database should automatically pick up your NEW entry and add it to our master list. For example, let's say you have photo of a fire; obiviously NOT on our list of categories. Your first category would be "nature", and your second entry (secondary category) would be "fire". The category "fire" will be added to our master search category listing on the server.

This will give you a good place to start.

Step 3: Send it to NeatoPhoto

 

Once you've completed, 1) creating the three sizes and, 2) entering the information on the database spreadsheet you are ready to send them to us. Send your DVD (images and spreadsheet) to the following address so that we can upload it. We will confirm via email that we've recieved your package and will upload is asap. Once it's uploaded your images are part of the group of images that will be for sale on the website. Send new images any time you have them, sending at least 20 at a time.

Eventually, you will be able to go to an "upload" page and upload all of this from your own computer ... but be patient, we're still working on that part.
